Data policy
How Awesome Meets handles your data
Written to be read. The short version comes first, the full policy follows.
The short version
- What I collect: only what you type into the sign-up form, the waitlist for November or the waitlist for another city.
- What it's for: matching you with 1 or 2 people and telling you about it. No newsletters, no advertising, nothing sold or passed on.
- Who sees it: only I can open your answers. Your match sees your name, your job, your LinkedIn profile, and the topics and areas you have in common.
- Personal topics (🔒): shown to a match only if you both picked the same one.
- How long: deleted within 12 months, or sooner if you ask.
- Your call: to see, change or delete your data, email anna@awesomemarketers.fi.
1. Who is responsible
Awesome Meets is run by Anna Pogrebniak, founder of The Awesome Marketers community. I decide what is collected and how it is used, which makes me the "data controller" in the words of the EU's data protection law, the GDPR.
Anything about your data goes to anna@awesomemarketers.fi. You can also just reply to any email you got from me.
2. What I collect
When you sign up for a round, what you enter in the form:
- your name, your email address and, if you choose to share it, your LinkedIn profile
- your work: how you work, your industry and seniority and, if you choose, your job title and company
- up to 5 topics you'd like to talk about
- how you'd like to meet: what you'd like to do, the areas, the days and times, and whether you want to meet 1 or 2 people
- what matters to you in a match, and any comments you leave
- when you signed up, and which version of the consent text you agreed to
When you join the waitlist for November: your email address and the time you left it.
When you join the waitlist for another city: your email address, your LinkedIn profile, your city and your country, and the time you left them.
When you've been matched: who you were matched with, the day, the time and the area, and later your feedback if you choose to give it.
When we email: the emails I send you and any replies you send me.
I don't buy data about you or get it from anyone else. If you shared your LinkedIn profile, I may look at it when I put the matches together.
3. What I use it for
- To match you with 1 or 2 people, using your answers.
- To tell you about your match, by email and sometimes with a message on LinkedIn.
- To ask how it went, with a short feedback questionnaire after the meetup. Answering is up to you.
- To invite you to the next round, but only if you joined the waitlist for November. Signing up for a round does not put you on a mailing list.
- To tell you if Awesome Meets comes to your city, but only if you joined the waitlist for another city.
- To show how many people signed up. The site shows the total only, never who.
That is all. No newsletters, no advertising, and I never sell your data or pass it on for someone else's purposes.
Why I'm allowed to: because you said yes. When you sign up, you tick a box agreeing that your answers are stored and used as described. When you join the waitlist for November, you give me your email for that one invitation. The waitlist for another city works the same way: you give me your details so I can tell you if Awesome Meets comes to where you live. You can take your yes back at any time: email me and I delete your data. It doesn't undo what has already happened, such as a match that was already sent.
4. Personal topics 🔒
Some topics on the form are personal and marked with 🔒. Picking one can say something sensitive about you, for example about your health or your private life. So they get extra care:
- they are always optional
- a match only ever learns that you picked one if they picked the same one
- the consent box on the form names them, so nothing is stored without you agreeing to it
5. Who sees your data
- Me. I am the only person who can open the sign-up answers.
- Your match. They see your name, your job title and company if you gave them, your LinkedIn profile if you gave it, the topics and the areas you both picked, and the day and time of your meetup. They don't see your other answers, and they don't get your email address from me unless you ask me to pass it on.
- The services I use to run this, listed below with what each one handles.
Nobody else.
- The private Google Sheet where sign-ups, the waitlist for November and the waitlist for another city are stored, the script that saves them, and my email inbox. The Sheet lives in The Awesome Marketers' Google Workspace.
- Resend
- Sends my emails to you. It handles your email address and the content of the email. Emails come from anna@meet.awesomemarketers.fi, and replies land in my normal inbox.
- Anthropic (Claude)
- Claude is an AI assistant. I use it to help me find good matches and to run Awesome Meets, so it handles sign-up answers while I work with it. I check and decide every match myself.
- Only if I send you a message there. LinkedIn handles that under its own privacy policy.
- Buy Me a Coffee
- The coffee button in the corner of this site. It is optional and has nothing to do with matching. The button is loaded from Buy Me a Coffee and remembers for one day that you have seen its message. If you support Awesome Meets there, Buy Me a Coffee handles the payment and the details you enter, under its own privacy policy.
6. Where your data is
Sign-ups, the waitlist for November and the waitlist for another city are in a private Google Sheet that only my account can open. Google, Resend and Anthropic are companies based in the United States, so your data may be handled there as well as in the EU.
7. How long I keep it
- Sign-up answers and match details: deleted within 12 months of signing up, or sooner if you ask.
- Emails on the waitlist for November: kept until the invitation for the next round has gone out, and no longer than 12 months. Ask me any time and I take yours off straight away.
- Details on the waitlist for another city: kept until Awesome Meets opens in your city or you ask me to remove them, and no longer than 12 months.
- Emails between us: deleted on the same schedule as your sign-up.
8. Your rights
Under the GDPR you can, at any time and for free:
- see what I hold about you and get a copy
- correct anything that is wrong or out of date
- have it deleted
- take back your consent, or ask me to stop using your data while a question is sorted out
- take it with you, in a format another service can read
Email anna@awesomemarketers.fi and I'll sort it out, at the latest within one month.
If you think I've handled your data badly, please tell me first so I can fix it. You also have the right to complain to the data protection authority where you live. In Finland that is the Office of the Data Protection Ombudsman.
9. No decisions by computer alone
A script in the Sheet and Claude help by suggesting who could be matched with whom. I look at every suggestion and decide every match myself. No decision about you is made by a computer alone.
10. Changes to this policy
If the way I handle data changes, this page changes with it and the date below moves. If a change matters for data I already hold about you, I will email you before it applies.
